This policy explains how ScoutFootyAI (a trading name of Synapse Labs Pty Ltd, based in Victoria, Australia — "we", "us", "our") handles personal information when you use our website at scoutfootyai.com.au and related services.
We comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
What information we collect
We collect the minimum information needed to run the service:
- Team data you paste. The AFL SuperCoach player names you enter into the analysis form. Used to generate your trade plan; not shared publicly.
- Email address. Captured by Stripe during checkout. We use it to send your plan permalink and respond to support requests. We never add you to marketing lists without your explicit opt-in.
- Payment details. Processed entirely by Stripe. We never see or store your card number, CVV, or bank details.
- Technical data. IP address, browser type, and timestamps — collected for rate limiting, error tracking, and abuse prevention.
- Analytics events. Anonymous product-usage events via PostHog (page views, button clicks, conversion funnel). No personally identifying information is associated with these unless you have paid.
How we use your information
- To provide the service — generate your trade plan, deliver it to your email, and let you re-access it via your session link.
- To improve the service — paid users' submitted teams and generated plans may be retained in an internal dataset used to improve our AI model over time. Free-preview team data is never retained for this purpose.
- To prevent abuse — rate limiting, security monitoring via Sentry.
- To comply with the law — if required by an Australian court or regulator.
Who we share information with
We use the following third-party processors, each contractually bound to handle data lawfully. Information flows to them only as needed for the service:
- Stripe (payments) — USA/Ireland. Handles all card data and email capture at checkout.
- OpenAI (primary AI provider) — USA. Your team and preferences are sent to OpenAI for analysis under their standard API terms; by default, OpenAI does not use API data to train their models.
- Groq (fallback AI provider) — USA. Same scope as OpenAI, used only when OpenAI is unavailable.
- Resend (email delivery) — USA. Sends your plan-ready email.
- Sentry (error monitoring) — USA. Receives scrubbed error data; we specifically strip team names, emails, and session tokens before events are sent.
- PostHog (product analytics) — USA. Anonymous event data.
- Railway / Vercel (hosting) — USA. Standard web infrastructure.
We do not sell your information to anyone. We do not use your data for advertising targeting.
Your rights under the APPs
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your account and associated data at any time
- Opt out of any optional analytics or marketing
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we've mishandled your information

Data retention
- Team paste + LLM output for paid sessions: retained for up to 24 months for model training and support purposes, then deleted.
- Free-preview team data: retained for at most 30 days solely for anti-abuse purposes, then deleted.
- Email + payment metadata: retained as required by Australian tax law (minimum 5 years for financial records).
- Error logs (Sentry): 90 days.
Children
ScoutFootyAI is intended for adult users. We do not knowingly collect information from anyone under 16. If you believe we have, contact us immediately and we will delete the data.
Changes to this policy
We may update this policy. The "last updated" date at the top reflects the current version. Material changes will be announced via email to paying users.
